JOB DESCRIPTION

A Multi-Disciplinary Design & Surveying Consultancy based in Ely who are well-renowned for their innovative solutions and exceptional service in the Design & Construction Industry are seeking a highly organized and proactive Project Coordinator/Commercial Administrator to join their growing & dynamic team.

 

Position Overview:

  • This role is pivotal in supporting the Business Development Director with the coordination of Request for Information (RFI) processes and the compilation of comprehensive Bid packs and fee proposals/ quotations.
  • Additionally, the successful candidate will play a crucial role in the administration and coordination of ongoing projects and design-related tasks within our small, yet vibrant design office.
  • In addition to provide similar services to the professional Building surveying team located at this office.

  • In managing and coordinating RFI processes, ensuring timely and accurate responses to client inquiries.
  • Compile and organize Bid packs, integrating detailed project information, technical specifications, and design elements to support the sales and bidding process.
  • Provide administrative support for ongoing projects, including scheduling meetings, preparing project documentation, and maintaining project databases.
  • Liaise with project teams, consultants, and external stakeholders to ensure smooth project execution and adherence to timelines and specifications.
  • Assist in the preparation and update of project reports, presentations, and other communication materials.
  • Support the Ely office based team with administrative tasks, including document control, filing, and the management of digital and physical project archives.
  • Contribute to the continuous improvement of internal processes and systems to enhance efficiency and effectiveness within the design office.

 

Qualifications & Skills:

  • Technical administration experience in a similar role such as Project Coordination, Bid compilation & writing or Commercial administration preferably within a Technical environment such as Engineering, Manufacturing, Design & Construction Industry or a Design Consultancy.
  • Strong organizational and administrative skills, with the ability to manage multiple tasks and deadlines effectively.
  • Experienced of Project Coordination within any Engineering, Technical, or HM Government department environments and prime contractors would be advantageous. In particular MoD, DfT, DEFRA and Education.
  • Excellent communication and interpersonal skills, with the capability to collaborate with team members, prospective and current clients at all levels.
  • Strong IT skills, with proficiency in Microsoft Office Suite, any in-house CRMs, MRPs or Project management software.
  • Familiarity with the design and construction process will be advantageous, including RFI and bidding procedures.
  • A proactive approach to problem-solving and the ability to work independently with minimal supervision.
  • Attention to detail and a commitment to delivering high-quality work.
  • Formal Qualifications relevant to the role such as Administration, Project Management, or a related technical field.
